Role overview

Work closely with a busy gynaecologist and fertility specialist in a lean, fast-paced single-practice environment.

Take ownership of the doctor's scheduling, bookings, patient management, and day-to-day practice administration.

Support patients through complex and emotional fertility and reproductive healthcare journeys.

Key responsibilities

  • Manage daily scheduling, bookings, and patient flow.
  • Manage patient enquiries, bookings, and sensitive requests as the first point of contact.
  • Handle practice administration, correspondence, and documentation.
  • Support billing, Medicare processing, private health fund administration, and item number claiming.
  • Liaise with external providers, hospitals, laboratories, and other stakeholders.
  • Apply knowledge of fertility treatment pathways to support patients at each stage.
  • Identify and implement process and efficiency improvements with the specialist.

What we're looking for

  • Experience in healthcare customer service, administration, or medical reception.
  • Empathy and a patient-centred mindset for complex healthcare journeys.
  • Ability to work autonomously with minimal supervision in a busy practice.
  • Patience and willingness to learn fertility pathways, treatments, and processes.
  • Strong organisation, time management, problem-solving, communication, and interpersonal skills.
  • A hard-working, dedicated approach with initiative to suggest improvements.

Preferred and desirable experience

  • Medical or specialist practice experience is preferred but not essential.
  • Working knowledge of billing, claiming, and Medicare item numbers is preferred.
  • Familiarity with medical practice management software is preferred.
  • Fertility, IVF, women's health, or obstetrics and gynaecology experience is highly desirable.
  • Understanding of fertility treatment pathways and patient care journeys is highly desirable.
