Position Summary

The Logistics Executive manages procurement, shipments, import/export documentation, order fulfillment, inventory, and logistics costs.

The role coordinates suppliers, freight forwarders, customs, and internal teams to support timely customer deliveries and provide Sales with stock and order information.

Procurement and Shipments

Issue and manage purchase orders, verify pricing, obtain supplier confirmations, and track orders through completion.
Coordinate import shipments from origin to destination and advise on appropriate routes and shipping methods.
Track shipments and resolve delays, damages, discrepancies, and customs-related inquiries.

Orders, Documentation, and Compliance

Coordinate with suppliers, freight forwarders, shipping lines, customs brokers, and authorities for clearance and delivery.
Process customer orders, issue acknowledgements, arrange outbound shipments, and meet agreed delivery timelines.
Prepare and maintain import/export documents, including invoices, packing lists, AWB or BL, certificates of origin, and exit certificates.
Follow up on shipment documents, apply for MOFAIC attestation when required, and handle TDRA and supplier registrations.
Upload vendor bills and relevant documents into Zoho.

Costs, Suppliers, and Inventory

Negotiate freight rates, review transportation costs, and calculate landed costs.
Follow up with suppliers, resolve delivery or order discrepancies, coordinate RMAs and samples, and support vendor payment coordination.
Monitor stock levels, support replenishment planning, maintain accurate inventory records, and conduct regular stock takes.
Maintain shipment, order, inventory, and logistics records and provide operational and controlling reports.

Coordination and Sales Support

Identify and resolve shipping, billing, documentation, and order issues while improving logistics efficiency and reducing costs.
Coordinate with Sales, Product Management, Finance, Customer Service, and other teams on order processing and fulfillment.
Maintain customer and order information in Zoho CRM and support Sales with stock availability, lead times, delivery updates, and customer follow-ups.
Follow up on pending customer documents and shipping requirements and coordinate actions on pending orders.

Qualifications

Bachelor’s degree or diploma in Supply Chain Management, Logistics, International Business, Business Administration, or a related field.
Supply Chain or Logistics background is advantageous.
2 to 5 years of experience in logistics, supply chain, procurement, import/export, or a similar role.
Strong knowledge of international shipping, air and sea freight, Incoterms, freight costs, and customs procedures.
Experience with import/export documentation and UAE customs requirements is required.
Experience with suppliers, freight forwarders, customs brokers, and shipping companies is required.
Proficiency in Microsoft Office and experience using ERP or CRM systems are required.
Zoho Books or Zoho CRM experience, TDRA or MOFAIC experience, accounting knowledge, and Arabic are advantageous.
Fluent English and strong communication, organizational, follow-up, and attention-to-detail skills are required.
