Responsibilities
- Providing day to day administrative support to fee earners across a range of tasks
- Managing diaries, scheduling meetings, and coordinating appointments
- Preparing, formatting, and proofreading legal documents and correspondence
- Handling incoming and outgoing communications across email, phone, and courier
- Maintaining accurate electronic and physical records, filing, and archiving
- Supporting billing processes including pre bill and final bill preparation, expense submissions, and disbursement processing
- Preparing internal transfer forms for client money transfers and setting up DocuSign as required
- Maintaining accurate client contact details and recording billing instructions
- Tracking BD activities and ensuring accurate recording
- Providing support at firm events
- Arranging travel including flights, hotels, and visa coordination
- Managing CLPD bookings and annual filing
Requirements
- Strong organisational skills with close attention to detail
- Excellent written and verbal communication skills
- Ability to manage competing priorities and work effectively under pressure
- Reliable, responsible, and proactive in anticipating and resolving issues before they arise
- Prior experience in an administrative or support role is desirable but not essential
- Familiarity with Microsoft Office applications including Word, PowerPoint, and Excel is beneficial

The Role
- Our client is a leading US law firm with a strong and growing presence across the Middle East. The Dubai office forms part of an ambitious and expanding regional platform.
- This is a permanent Junior PA position based in Dubai, sitting within the Legal Support team and reporting to the Office Manager. The role offers an excellent entry point into a prestigious international law firm environment.
Work Arrangement
- Hybrid working pattern, with a minimum of three days per week in the office.
- Core hours are Monday to Friday, 9:30am to 5:30pm.
Key Responsibilities
- Providing day to day administrative support to fee earners across a range of tasks
- Managing diaries, scheduling meetings, and coordinating appointments
