Job Description

  • First Officer Quality of Life Affairs (26002009)

Strategy

  • Follow up on priority Quality of Life files and leadership engagements, ensuring briefs, materials, and actions are ready per direction and schedule.
  • Compile KPI inputs for the Quality of Life plan, validate source updates, and prepare periodic reports for leadership.
  • Maintain the calendar of higher councils/committees and track recommendations, and submission deadlines to ensure compliance.
  • Draft internal awareness content and success stories supporting Quality of Life objectives across teams.

Operations

  • Operate departmental correspondence and records workflows, including letters/costs, response tracking, archiving, and electronic messaging efficiency.
  • Prepare presentations on Quality of Life topics and produce meeting materials and record decisions for follow through.
  • Improve archiving, instruction logs, and response SLAs for completeness, retrieval speed, and audit readiness and strengthen KPI data quality checks.
  • Register and track office directives and coordinate with relevant departments and issue periodic status updates.
  • Coordinate scheduling and logistics for the Director’s meetings with internal and external stakeholders; compile minutes and action trackers.
  • Follow up on responses to Quality of Life correspondence across sectors and institutions and escalate delays to owners.
  • Support delivery of departmental activities at events; ensure approved formats, routing, and timely transmittals.
  • Maintain KPI trackers and dashboards and reconcile data with source owners for Authority submissions.
  • Assemble materials and datasets for specialized studies and benchmarking and enforce document control and versioning.

Product/Process Improvement

  • Improve archiving, instruction logs, and response SLAs for completeness, retrieval speed, and audit readiness and strengthen KPI data quality checks.
  • Standardize templates for letters, circulars, and leadership decks to enhance accuracy, consistency, and turnaround time.
  • Compile and publish internal success stories and outcome summaries to embed Quality of Life practices across teams.

Qualifications & Requirements

  • Bachelor's degree/Diploma in Business Administration
  • 0 1 year in case of bachelor’s degree (5+ years in case of Diploma)
  • Technical Competencies: Administrative Circular & Instruction Tracking, Executive Communication & Correspondence, General Administrative Practices, Technical Records & Document Control
