An IT Services / Vendor Management Backup Support role providing administrative and coordination support for vendor management, procurement tracking, renewals, and asset management.

Responsibilities
- Support coordination with IT vendors for quotations, follow ups, delivery updates, clarifications, and routine issues
- Prepare and track Purchase Requests (PRs), supporting documents, and PR/PO status with Procurement and internal stakeholders
- Review and track Procurement Business Cases (PBCs), supporting documents, tracking status with Procurement and internal stakeholders
- Maintain trackers for contracts, renewals, subscriptions, invoices, and procurement activities, and flag items requiring action
- Coordinate renewal follow ups and collect required documents to help avoid service or subscription interruption
- Assist in invoice checking and follow up with vendors, Procurement, and Finance for routine processing issues
- Coordinate with vendors for Hardware support and warranty repairs
- Provide backup support for software licensing and subscription recordkeeping, including renewal dates and basic entitlement tracking
- Provide backup administrative support for asset management, including updating asset records, tracking issuance/returns, and maintaining inventory documentation
- Support documentation control, filing, recordkeeping, and preparation of basic status reports
- Maintain a working knowledge of general IT functions and support processes to assist with IT coordination and backup support tasks
- Escalate delays, missing documents, expiring renewals, vendor issues, or other risks to the authorized internal staff
Requirements
- Experience in IT administration, vendor coordination, procurement support, asset management, or IT operations support
- Basic knowledge of IT functions and support processes
- Familiarity with Oracle PR/PO, invoice follow up, renewals tracking, and documentation control
- Good coordination, communication, attention to detail, and confidentiality awareness
- Comfortable using ERP/procurement systems (Oracle, nice to have: SAM module in ServiceNow), Excel trackers, email, and document repositories

Role Purpose
