About the Role

Responsibilities
- Prepare replies to all incoming emails on the same day
- Handle all export correspondence with clients, shipping lines, agents, and other departments
- Create Proforma Invoices
- Obtain quotations from shipping companies, check vessel schedules and cut off dates
- Coordinate with warehouse teams for container placement, goods transfer, loading plans, and batch tracking
- Cross check Load List with actual Invoice
- Scan documents and check pre shipment documents (Draft Bill of Lading, Draft Certificate of Origin)
- Prepare export documentation: Commercial Invoice, Packing List, Certificate of Origin, Switch BL, Export Permit
- Check and create Letter of Credit related documents and submit to bank
- Coordinate with Chamber of Commerce for Certificate of Origin
- Send payment requests and confirmations to customers
- Courier original documents to customers and send tracking numbers

- 2 years of import/export experience (Preferred)

Responsibilities
- Preparing replies to all incoming Emails on the same day and discussing if required. Regularly check emails
- All export correspondence with clients, shipping lines, agents, and other concerned departments
- Creating Proforma Invoices
- Asking quotations from shipping companies / checking vessel schedules / cut off dates / creating DG forms based on IMCO Classes
- Co ordination with warehouse teams for: Placing the container, Sending goods between warehouses, Loading plans, Batch number, manufacturing date, and expiry date tracking
- Cross checking the Load List with the actual Invoice
- Scanning of documents
- Checking pre shipment documents: Draft Bill of Lading, Draft Certificate of Origin
- Documentation for Exports: Commercial Invoice, Packing List, Certificate of Origin, Switch BL, Export Permit
- Letter of Credit (L/C): Checking and creating LC related documents, and submitting them to the bank
- Co ordination with Chamber of Commerce for generation of Certificate of Origin (COO)
- Sending payment requests and payment confirmations to customers
Additional Duties
- Couriering original documents to customers and sending tracking numbers
- Updating direct shipment details and sending Direct Shipment (DS) Schedule Sheet to Management
- Sending reminders for matters pending for more than one week
- Filing of all export related documents
- Preparing Transfer of Ownership documents
- Correspondence with shipping company/agent
- Preparing Exit Paper
- Updating Exit Paper and NR (Non Returnable) files
- Preparing NR documents for customs submission
- Follow up and collection of customs documents from agent
- Sending email to Accounts Department for cheque preparation
- Coordinating with Imports Department for passing BOE (Bill of Entry) documents
Pay
- AED2,500.00 AED4,000.00 per month
Experience
- IMPORT/EXPORT: 2 years (Preferred)
