Your Role

We’re looking for a professional, organized, efficient, and client focused individual to join our team as an HR Coordinator.

This role supports the HR Leader in the region and all employees as required with a professional demeanor and pro-active approach.

You should thrive when working alongside employees in a fast-paced professional environment.

You must be well versed in general HR policies and procedures to help guide employees upon request.

This position requires you to be detail conscious, prioritize well, and interface with the office leadership, clients, employees, and candidates.

What You Will Do

  • Coordinate the end-to-end recruitment process for UAE National candidates, including posting vacancies on relevant Emiratisation platforms, screening CVs, and scheduling interviews with hiring managers, while supporting sourcing efforts through universities, career fairs, and government initiatives, and maintaining a strong and active pipeline of Emirati talent.
  • Monitor and track Emiratisation (Tawteen) quotas in line with UAE regulations, maintain accurate records of UAE National employees, support HR in achieving monthly and annual Emiratisation targets, and prepare reports on progress and key performance indicators (KPIs).
  • Tracking hiring progress against quotas, while ensuring compliance with relevant regulations.
  • Proactively manage GCC national employee pension enrolments, contributions, and updates, including coordination with the General Pension and Social Security Authority and Abu Dhabi Pension Fund.
  • Work closely with HR leader on employee relations, recruiting, learning and professional development programs
  • Handle and ensure all immigration and visa requests are handled appropriately.
  • Enter changes into HRIS Database including new hires/exits, compensation, job changes, department changes, transfers etc.
  • Write welcome announcements for new hires and coordinate orientations and exit interviews
  • Maintain Workday and local employee records in perfect order, for internal audit requirements and any Ministry of Labour inspections.
  • Maintain data integrity in the Applicant Tracking System (ATS) and maintain records on all recruiting related activity
  • Run reports from HRIS, LMS and ATS Systems
  • Facilitate office events (Wellness Week, training events, etc.)
  • Help to support staffing and other operational functions within the office/region as needed
  • Coordinate the entire recruitment process, including developing job descriptions, sourcing candidates, screening applicants, providing suitable shortlists to hiring managers, interview coordination, offer/contract preparing and managing the interview process through to hire
  • Understand all Gensler policies and ensure compliance within the office
  • Support Gensler sustainability goals. Especially on topics relevant to your day-to-day duties.
  • Engage and collaborate with the larger team on sustainability efforts and initiatives.
  • Research and implement ways to optimize our internal workflow environmental impact.
  • Other duties and responsibilities as appropriate

Your Qualifications

  • Bachelor's degree in Human Resources, or similar
  • Minimum of 3 years of experience supporting an HR team, within a professional services firm desired
  • Demonstrable ability to effectively communicate in both written and verbal English
  • A high degree of competency in HRIS and ATS systems highly desirable
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Outlook required
  • Self-motivator with strong intra-personal skills, and a great collaborator
  • Strong organizational skills and attention to detail to coordinate and manage multiple projects and deadlines and prioritize effectively
  • Ability to work with diverse, creative, professional people in a fast-paced work environment
  • Ability to process high volume of confidential data with integrity and professionalism
