Responsibilities
- Manage all employee administrative work including attendance, reports, leave records, and personnel documentation
- Oversee onboarding and offboarding processes ensuring compliance with UAE labor regulations
- Manage full recruitment cycle from sourcing to hiring
- Handle visa renewals and new visa applications, liaise with PRO services
- Act as point of contact for clients, respond to inquiries, and promote company services
- Maintain organized database of suppliers, clients, and business contacts
- Support project teams with administrative coordination
- Assist with general office management tasks
Requirements
- Minimum 2+ years of experience in an HR/Admin role within the UAE
- Strong knowledge of UAE labor laws, visa processes, and HR best practices
- Proficient in English and Arabic
- Excellent communication and interpersonal skills
- Strong problem solving and organizational abilities
- Ability to multitask and work under pressure
- High attention to detail and strong time management skills
- Proficiency in MS Office and HR/admin systems
- Previous experience in interior design, construction, or creative industry is an advantage

Job Overview
- We are seeking a highly organized and proactive HR & Administration Officer to manage the company’s human resources and administrative functions.
- The ideal candidate will support day to day HR operations, employee administration, recruitment, visa processes, and client coordination within a fast paced interior design environment.
Human Resources & Employee Administration
- Manage all employee administrative work, including attendance tracking, weekly reports, leave records, and personnel documentation.
- Maintain accurate and up to date employee files.
- Oversee onboarding and offboarding processes, ensuring compliance with company policies and UAE labor regulations.
- Handle employee queries related to HR policies, benefits, and procedures.
Recruitment & Talent Acquisition
- Manage the full recruitment cycle from sourcing, screening, and interviewing to final hiring approval.
- Coordinate interviews with management and ensure a smooth candidate experience.
- Prepare job offers, employment contracts, and related documentation.
Visa & PRO Coordination
- Handle visa renewals and new visa applications for employees.
- Liaise with PRO services for all immigration, labor, and government related processes.
- Ensure compliance with UAE labor laws and immigration requirements.
Client & External Communication
- Act as a point of contact for clients, responding to inquiries in a timely and professional manner.
- Communicate with clients to explain, promote, and offer company services while maintaining a positive company image.
- Schedule meetings with clients, suppliers, and internal teams, ensuring proper coordination and follow ups.
Administration & Office Management
- Maintain an organized database of suppliers, clients, and business contacts.
- Manage and archive all company records, including employee files, projects, events, and office supplies.
- Support project teams with administrative coordination related to design projects and site activities.
- Assist with general office management tasks to ensure smooth daily operations.
Coordination & Support
- Coordinate with designers, project managers, and suppliers to support project timelines.
- Assist in organizing company events, meetings, and internal activities.
- Ensure confidentiality of sensitive employee and company information at all times.
