About the Role
Manlift Group is seeking a Hire Desk Controller for its Qatar operations to manage rental desk functions, including coordinating machine deliveries, preparing hire agreements, and liaising with internal teams.

Responsibilities
- Understand and perform all rental cycle tasks with the rental desk teams, including transport & logistics, telematics monitoring, and administration.
- Ensure timeliness and accuracy of rental desk team data and status updates in InspHire/NetSuite.
- Schedule operations supervisors for site familiarizations and off hire inspections.
- Prepare hire agreements and email to customers.
- Follow up on hire agreements and LPOs prior to machine delivery.
- Ensure rental agreements, delivery notes, and collection notes are accurately completed and filed.
- Collect pre delivery photographs of machines and file them in the system.
- Prepare delivery notes and provide them to the transporter.
- Prepare job files against each sales order and file documents.
- Liaise with Credit Control and Accounts teams for timely monthly rental revenue invoicing.
- Perform daily updates of order intake form, revenue tracker, and delivery schedule.
Requirements
- Degree or diploma in engineering/management
- Minimum 3 years of experience in rental desk, order/customer management in rental/logistics industry
- Working knowledge of Microsoft Excel & any ERP software
- Management report generation and analysis
- Enthusiastic and self motivated
- Team player with excellent communication and people management skills
- Negotiation skills
- Advanced proficiency in MS Office tools (Pivot Tables, lookup functions, IF statements, conditional formatting)
- Must be locally available with a transferable visa and able to join immediately or within short notice
- Fluent in English; Hindi is an advantage

Objective of the role
- This role will be responsible for efficient and effective operation of the Qatar Hire Desk functions; additionally there will be some interaction and guidance responsibility within the operations, commercial and technical team.
Organisational Structure
- Reports to Finance Manager
Tasks and responsibilities
- Understands and performs all rental cycle tasks with the rental desk teams including transport & logistics, telematics monitoring, administration related to hire desk operations, account release request with credit control team.
- Understands and performs the timeliness and accuracy of the rental desk team’s data and status updates in the InspHire/NetSuite platform and any other agreed data management tools.
- Scheduling operations supervisors on site familiarizations & off hire inspections. Monitoring the delivery of machines and assigning tasks to the operations supervisors.
- Understands and performs communication pathways (phone, email, verbal, system) for internal and external machine rental related requests.
- Preparing hire agreements and emailing to the customer.
- Following up hire agreements, LPO’s prior to delivery of machines.
- Ensures rental agreements, delivery notes/collection notes, LPO’s that are required to enable a machine on/off hire are accurately completed, filed and updated in the system.
- Collecting pre delivery photographs of the machines & having them filed in the system.
- Preparing the delivery notes and providing them to the transporter.
- Preparing a job file against each sales order & filing the documents, including delivery note acknowledgements.
- Forwarding the information and updating the customer inquiry log.
- Checking customer emails, liaising with commercial and technical staff closely for coordination of each specific job
Must Have
- Working knowledge of Microsoft Excel & any ERP software
- Management report generation and analysis
Requirements
- Degree or diploma in engineering/ or management
- Minimum 3 years of experience in rental desk, order/customer management in rental/ logistics industry. Experience in heavy equipment rental industry will be added advantage.
- Enthusiastic and Self motivated.
- Team player with excellent communication and people management skills.
- Negotiations skills.
- Demonstrates strong computer literacy with advanced proficiency in MS Office tools, including but not limited to Pivot Tables, lookup functions, IF statements, conditional formatting etc.
- Must be locally available with a transferable visa and able to join immediately or within a short notice period
- Fluent in English, Hindi will be an advantage.
