About the Company

  • We are a growing HSE consulting and services company with an established presence in Dammam, Kingdom of Saudi Arabia.
  • We are seeking a proactive and detail oriented Saudi National to join our team as an Administration Officer.

Position Summary

  • The Administration Officer will manage daily administrative operations, ensure compliance with Saudi government regulations, maintain statutory records, coordinate vendor registrations, handle office administration, and support overall operational requirements.
  • The candidate should have strong knowledge of Saudi government procedures and be capable of independently managing administrative and compliance related activities in a growing SME environment.

Key Responsibilities

  • Manage day to day administrative operations of the Dammam office.
  • Monitor and renew all company licenses, permits, registrations, and statutory documents before expiry.
  • Coordinate with relevant Saudi government authorities and external service providers to ensure ongoing compliance.
  • Maintain and update company records across applicable government portals.
  • Ensure compliance with Saudi laws, regulations, and administrative requirements.
  • Prepare and organize documentation for government submissions, client registrations, audits, and tenders.
  • Complete vendor registrations and prequalification processes through customer portals.
  • Maintain accurate physical and electronic filing systems in accordance with company document control procedures.
  • Handle office administration including office supplies, facilities coordination, courier services, and vendor communications.
  • Manage petty cash and maintain accurate supporting records.
  • Coordinate with Finance department regarding invoices, payments, and administrative expenses.
  • Prepare official correspondence, letters, reports, and administrative documentation.

Requirements

  • Saudi National (Mandatory).
  • Bachelor's degree in Business Administration or a related field.
  • Minimum 3–5 years of administrative experience within Saudi Arabia.
  • Strong knowledge of Saudi government regulations and business compliance requirements.
  • Hands on experience with government platforms such as Qiwa, Muqeem, GOSI, MHRSD, Chamber of Commerce, Absher Business, Balady, ZATCA, and other relevant portals.
  • Experience managing company licenses, registrations, permits, and statutory documentation.
  • Experience in vendor registration and client prequalification processes.
  • Knowledge of petty cash administration and general office operations.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Excellent organizational, communication, and problem solving skills.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Fluency in Arabic and English (written and spoken).

Preferred Experience

  • Experience working within an SME environment.
  • Previous experience in the HSE, engineering, consulting, or professional services sector.
  • Familiarity with Saudi labor regulations and government compliance procedures.
