Role overview
Manage administrative operations, travel arrangements, and government-related processes for Aviagen’s Saudi organization.
Ensure compliance with Saudi labor and immigration laws while supporting employee mobility and office operations.
Represent the company with government authorities and act as a key point of contact for administrative and government requests.
Travel management
- Coordinate flights, hotels, visas, car rentals, transfers, travel approvals, and required forms.
- Lead annual contract negotiations with selected hotel partners.
- Prepare invitation letters and support visa processing for employees and visitors.
- Deliver travel policy and security training during new-hire induction and provide guidance on vaccination requirements for business travel.
Events and office administration
- Coordinate venue booking, meeting-room setup and equipment, participant lists, catering, gifts, transportation, and event communications.
- Provide general office support, including document preparation, filing, correspondence, and office coordination.
Employee visas and work authorization
- Coordinate issuance, renewal, transfer, and cancellation of Iqamas and manage employment visa processing.
- Monitor visa and Iqama expiry dates and process exit/re-entry and final-exit documentation through relevant government portals.
- Support onboarding and offboarding processes involving government approvals.
Government portals and compliance
- Maintain accurate records on Absher, Qiwa, Muqeem, GOSI, Mudad, Chamber of Commerce, and Ministry of Labor portals.
- Ensure compliance with Saudi labor law, immigration policies, and Saudization requirements.
- Support audits, inspections, legal reporting, Nitaqat initiatives, and workforce nationalization activities.
Government relations
- Represent the company before the Ministry of Human Resources and Social Development, Jawazat, Ministry of Interior, Chamber of Commerce, municipalities, and other relevant bodies.
- Build relationships with government agencies to facilitate timely processing of employee and company requests.
- Guide employees on Iqama, visa, sponsorship, attestation, and other government-related matters.
Qualifications and experience
- Diploma or bachelor’s degree in Business Administration, HR, Public Administration, or a related field.
- 4–7 years of government-relations experience within Saudi Arabia.
- Solid experience using Saudi e-government systems.
Competencies and skills
- Strong knowledge of Saudi Labor Law, immigration regulations, and Saudization requirements.
- Proficiency in Absher, Qiwa, Muqeem, GOSI, and Mudad.
- Strong Arabic and English communication skills.
- Excellent organization, coordination, documentation, confidentiality, and attention to detail.
- Ability to work in a cross-cultural environment, multitask, solve problems, and work under pressure.
