Responsibilities
- Issue, renew, and maintain employee, visitor, contractor, vehicle, and material gate passes
- Verify approvals and supporting documents before issuing gate passes
- Coordinate with security personnel to control site access
- Maintain accurate gate pass records and logs
- Monitor gate pass validity and ensure timely renewals
- Prepare daily and monthly gate pass reports
- Record daily attendance of employees and subcontractor personnel
- Prepare and verify timesheets for payroll processing
- Monitor overtime, leave, absenteeism, and shift schedules
- Coordinate with supervisors to resolve attendance discrepancies
- Maintain accurate manpower records and daily workforce reports
- Submit attendance and manpower reports to HR and project management
Requirements
- Diploma or Bachelor's degree in Business Administration, Human Resources, or a related field
- 2–5 years of experience in administration, timekeeping, gate pass coordination, or HR support
- Experience in construction, oil & gas, manufacturing, or industrial projects is preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Knowledge of timekeeping and payroll documentation
- Attention to detail and accuracy in record keeping
- Ability to work under pressure and meet deadlines

Gate Pass Coordination

Timekeeping

- Arrange site access, accommodation, transportation, and office logistics as required
- Maintain office supplies and administrative inventory
- Support audits by providing accurate documentation and records
- Ensure compliance with company policies, security procedures, and HSE requirements
Qualifications
- Diploma or Bachelor's degree in Business Administration, Human Resources, or a related field
- 2–5 years of experience in administration, timekeeping, gate pass coordination, or HR support
- Experience in construction, oil & gas, manufacturing, or industrial projects is preferred
