Freelance Project Manager

Overview

Responsibilities

• Take ownership of assigned projects from internal handover through planning, production, execution, and project closure.
• Translate approved scopes, creative concepts, and client requirements into detailed project plans, schedules, milestones, and task ownership.
• Build and maintain comprehensive project trackers covering deliverables, approvals, suppliers, production requirements, dependencies, and deadlines.
• Establish clear priorities and workflows across internal and external project teams.
• Ensure all stakeholders understand their responsibilities, timelines, and required outputs.
• Proactively identify project dependencies, bottlenecks, and risks before they impact delivery.
• Manage the delivery of projects including brand activations, launches, experiential campaigns, exhibitions, pop-ups, corporate events, installations, roadshows, and live experiences.
• Coordinate all operational aspects of project delivery including venues, permits, logistics, fabrication, AV, technical requirements, staffing, transportation, installation, and dismantling.
• Develop detailed production schedules, event run sheets, installation plans, and on-site execution schedules.
• Ensure the approved creative concept is accurately translated into the final physical experience.
• Maintain close oversight of execution quality throughout fabrication, installation, rehearsals, live delivery, and dismantling.
• Work closely with Client Servicing and Account Leads to understand client expectations, priorities, approvals, and communication requirements.

Requirements

• Minimum 5–8 years of project management experience within experiential, events, advertising, activation, production, or integrated creative agencies.
• Proven experience independently managing medium to large-scale experiential projects from planning through live execution.
• Strong understanding of event production, fabrication, technical production, logistics, venues, and supplier management.
• Experience managing project budgets, supplier quotations, commercial negotiations, and cost tracking.
• Strong written and verbal communication skills in English.
• Proficiency in Microsoft Office / Google Workspace and project management tools.
