Overview

  • We are seeking a creative and detail oriented Freelance F&B Event Design & Operations Coordinator to support our premium catering events from concept development to execution.
  • This role combines event styling, food presentation, procurement, supplier coordination, and inventory management.
  • This is a project based freelance role, ideal for someone experienced in luxury events, catering, hospitality, visual merchandising, or event production.

Key Responsibilities Event Design & Styling

  • Develop creative concepts for table setups, buffet displays, canapé presentations, and overall event styling.
  • Translate menu concepts into visually appealing food presentations that enhance the guest experience.
  • Select appropriate styling elements including linens, tableware, flowers, décor, serving pieces, signage, and display accessories.
  • Create mood boards, styling proposals, and setup concepts aligned with the event theme and client expectations.

Key Responsibilities Food Presentation & Catering Coordination

  • Collaborate with chefs, food suppliers, and the catering team to understand menu requirements and presentation expectations.
  • Design buffet layouts considering guest flow, food visibility, accessibility, and aesthetics.
  • Ensure food displays, serving equipment, and décor elements are cohesive and aligned with the overall event concept.
  • Support canapé presentation concepts, including trays, accessories, and service presentation.

Key Responsibilities Procurement & Cost Management

  • Source and purchase styling materials, décor items, flowers, tableware, and event accessories from local suppliers, stores, and online platforms.
  • Compare suppliers, negotiate pricing where applicable, and recommend cost effective solutions.
  • Maintain purchase records, track expenses, and ensure styling stays within allocated budgets.
  • Identify items suitable for investment into company inventory versus one time purchases or rentals.

Key Responsibilities Event Execution

  • Coordinate event setup from delivery through guest arrival.
  • Oversee table styling, buffet setup, décor placement, and final quality checks.
  • Coordinate with suppliers, operations teams, chefs, and event staff on event days.
  • Troubleshoot last minute changes while maintaining the quality and appearance of the setup.

Key Responsibilities Inventory & Reporting

  • Maintain accurate records of décor, styling equipment, tableware, and reusable assets.
  • Track usage, damages, losses, and remaining inventory after each event.
  • Prepare post event reports including expenses, inventory updates, and recommendations for improvement.

Requirements

  • Proven experience in event styling, catering events, hospitality, luxury events, floral design, visual merchandising, or a related field.
  • Strong portfolio demonstrating table styling, food displays, buffet setups, or event concepts.
  • Excellent creative eye with strong attention to detail and understanding of luxury aesthetics.
  • Ability to combine creativity with practical operational thinking.
  • Experience sourcing suppliers and managing event related purchases.
  • Strong organizational skills with the ability to manage budgets, timelines, and multiple event requirements.
  • Comfortable working independently and managing projects from concept to execution.
  • Flexible availability for evenings, weekends, and event based schedules.
  • Based in Abu Dhabi or able to travel for events.

Preferred Skills

  • Experience working with premium catering companies, hotels, restaurants, or luxury events.
  • Knowledge of flowers, tableware, food presentation, and event décor.
  • Ability to create professional concepts using Canva, PowerPoint, or similar tools.
  • Strong understanding of inventory systems and cost tracking.
