Responsibilities
- Serve as the first point of contact for clients, visitors, and business partners
- Handle incoming calls professionally and direct inquiries appropriately
- Manage lawyers’ calendars, appointments, and meeting schedules
- Coordinate conference room bookings and maintain meeting records
- Arrange daily transportation schedules and assignments for company drivers
- Follow up on client invoices, payments, and outstanding balances with the finance team
- Manage incoming/outgoing correspondence, courier services, and document deliveries
- Prepare engagement documents, client files, and administrative reports
- Maintain accurate records, databases, and filing systems
- Coordinate internal and external meetings across departments
- Ensure reception and client areas reflect the firm’s professional standards
- Provide administrative support to partners, lawyers, and management
Requirements
- Minimum 2 years of experience in reception, front desk, administration, or coordination
- Excellent verbal and written English communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Strong organizational and multitasking abilities
- Professional appearance and client service orientation
- Experience in a law firm or professional services environment is preferred

Key Responsibilities
