Role Overview

  • The Facilities Management Coordinator Lead is responsible for overseeing the planning, coordination, and execution of facilities management operations across Tree Trunk Group's projects.
  • The role ensures that all hard and soft FM services are delivered efficiently, safely, and in compliance with client requirements, company policies, and industry standards.
  • The successful candidate will lead the coordination of maintenance teams, subcontractors, suppliers, and client communications while ensuring high quality service delivery, operational efficiency, and customer satisfaction.

Key Responsibilities

  • Coordinate and supervise daily facilities management operations across multiple sites.
  • Ensure all preventive and corrective maintenance activities are completed on schedule.
  • Monitor the performance of subcontractors, suppliers, and service providers.
  • Coordinate hard and soft FM services, including MEP Maintenance, HVAC Systems, Plumbing, Electrical Systems, Civil Maintenance.
  • Prepare maintenance schedules and annual preventive maintenance plans.
  • Coordinate manpower allocation according to project requirements.
  • Ensure timely attendance to emergency maintenance requests.
  • Plan resources to achieve operational efficiency.
  • Serve as the primary point of contact for clients regarding facilities management matters.
  • Conduct regular meetings with clients to review operational performance.
  • Ensure all client requests are addressed within agreed service levels.
  • Build and maintain strong professional relationships with clients.

Team Leadership

  • Lead and supervise Facilities Coordinators, Supervisors, and maintenance teams.
  • Assign daily work schedules and monitor team productivity.
  • Conduct toolbox talks and operational meetings.
  • Provide coaching, training, and performance guidance to team members.

Health, Safety & Compliance

  • Ensure compliance with company HSE policies and Qatar regulations.
  • Promote safe working practices across all facilities operations.
  • Participate in risk assessments and safety inspections.
  • Ensure proper documentation of incidents and corrective actions.

Documentation & Reporting

  • Prepare daily, weekly, and monthly operational reports.
  • Maintain maintenance records and asset documentation.
  • Monitor work orders through the Computerized Maintenance Management System (CMMS).
  • Prepare KPI reports and client presentations.

Procurement & Inventory

  • Coordinate procurement requests for materials.
  • Monitor inventory levels and ensure the availability of materials.
  • Coordinate with the procurement department to ensure timely delivery.

Multi Technician Support & Team Assistance

  • Perform multi skilled maintenance tasks, including basic electrical, plumbing, HVAC, civil, and carpentry works, as required.
  • Assist technicians in diagnosing and resolving maintenance issues efficiently.
  • Support team members during preventive and corrective maintenance activities.
  • Coordinate with supervisors to ensure maintenance work is completed within the required timeframes.
  • Provide technical guidance and on site assistance to junior technicians and newly assigned staff.
  • Promote teamwork by assisting colleagues in completing daily work orders and emergency maintenance tasks.
  • Ensure all maintenance activities are carried out in accordance with company procedures, safety regulations, and quality standards.
  • Maintain tools, equipment, and work areas in a clean, safe, and organized condition.
  • Report maintenance issues, material requirements, and completed work to the Facilities Management Coordinator Lead.
  • Respond promptly to emergency maintenance requests and support other departments whenever operational needs require.
  • Foster a collaborative work environment by sharing technical knowledge and supporting continuous improvement initiatives.
