Role Overview

  • I'm looking for a highly organized, proactive and reliable Executive & Personal Assistant to help manage both personal and administrative responsibilities.
  • This role is ideal for someone who enjoys bringing structure, staying organized, solving problems, and helping busy entrepreneurs operate more efficiently.
  • The goal is simple: help remove day to day distractions so I can focus on high value work and strategic priorities.

Responsibilities

  • Manage calendar, appointments and scheduling
  • Organize travel, flights, hotels and itineraries
  • Book restaurants, activities and personal appointments
  • Coordinate household services and local providers
  • Handle personal errands and administrative tasks
  • Manage reminders for important dates, renewals and commitments
  • Organize documents, files and records
  • Coordinate payments, invoices and recurring expenses
  • Follow up with service providers, accountants, banks and external partners
  • Assist with basic business administration
  • Manage and coordinate meetings
  • Prepare simple summaries, notes and follow ups

Requirements

  • Fluent English (written and spoken)
  • Based in Dubai
  • UAE visa already in place is a plus, but visa sponsorship can be provided for the right candidate
  • Previous experience as a Personal Assistant, Executive Assistant, Office Manager or similar role
  • Strong organizational skills and attention to detail
  • Highly proactive and resourceful
  • Comfortable handling confidential information
  • Strong communication skills
  • Comfortable using Google Workspace, Slack, Notion and spreadsheets
  • Comfortable using AI tools such as ChatGPT to improve productivity and efficiency

Bonus Points

  • French speaker
  • Experience supporting founders, entrepreneurs or executives
  • Experience in startups, e commerce or online businesses
  • Familiarity with invoices, payments and administrative processes

Compensation
