Job Title: Executive Office Manager / Executive Assistant to CEO

We are looking for a highly professional, proactive, and reliable Executive Office Manager to work directly with the CEO of a company operating in legal consulting and business services across Saudi Arabia and the Gulf region.
This is a critical executive support role, not a traditional administrative position.
The selected candidate will be expected to manage the CEO’s daily priorities, follow up with teams, handle internal and external communications, coordinate meetings and travel, support client and employee issue resolution, and represent the CEO in selected meetings when required.
The ideal candidate must be highly organized, bilingual, discreet, fast-moving, and capable of taking ownership of tasks without constant supervision.
Key Responsibilities
Manage and organize the CEO’s calendar, meetings, appointments, and daily priorities.
Handle emails, internal communications, external correspondence, and follow-ups on behalf of the CEO when required.
Draft professional letters, official correspondence, meeting minutes, reports, memos, and presentations in both Arabic and English.
Follow up with employees and departments to ensure projects, tasks, and deliverables are completed on time.
Track execution of assigned tasks and provide regular updates to the CEO.
Coordinate between internal teams, clients, partners, and external stakeholders.
Assist in resolving client issues, employee concerns, and operational matters, while escalating critical issues appropriately.
Represent the CEO in selected internal and external meetings when required.
Prepare meeting agendas, record action items, and ensure proper follow-up after meetings.
Coordinate travel arrangements, business trips, conferences, events, hotel bookings, transportation, and related logistics.
Organize and maintain important documents, contracts, records, files, and confidential information.
Support the CEO in managing priorities, deadlines, commitments, and high-level business matters.
Use AI tools, ERP systems, productivity tools, and digital platforms to improve efficiency, reporting, and task management.
Prepare periodic reports on pending tasks, project progress, risks, priorities, and unresolved matters.
Maintain a high level of confidentiality, professionalism, accuracy, and discretion at all times.
Mandatory Requirements
Fluency in both Arabic and English, spoken and written, is mandatory.
Previous proven experience in a similar role is mandatory, such as Executive Office Manager, Executive Assistant to CEO, CEO Office Manager, Senior Executive Assistant, or a closely related position.
The candidate must currently reside in Saudi Arabia.
The candidate must be able and willing to travel within Saudi Arabia when required for company-related business.
Excellent written communication skills in both Arabic and English are required.
Strong ability to draft formal letters, business correspondence, reports, and official communications is required.
The candidate must have strong organizational, follow-up, multitasking, and problem-solving skills.
The candidate must be able to deal professionally with clients, employees, executives, and external stakeholders.
Strong knowledge of Microsoft Office, Google Workspace, productivity tools, and digital communication platforms is required.
Experience using AI tools to improve productivity, writing, research, task tracking, and reporting is required.
Experience with ERP systems is required.
Experience with Zoho or a similar business management system is highly preferred.
The candidate must demonstrate a high level of confidentiality, loyalty, discretion, and professional judgment.
The candidate must be able to work under pressure and manage multiple priorities.
Strong attention to detail and the ability to act independently are essential.
Preferred Qualifications
Previous experience in legal consulting, business services, corporate services, professional services, or multi-activity companies is preferred.
Previous experience working directly with CEOs, founders, partners, board members, or senior executives is preferred.
Experience in project follow-up, task management, internal coordination, and executive reporting is preferred.
A strong understanding of business operations, internal approvals, client service, and executive-level communication is preferred.
Professional appearance and the ability to represent the CEO and the company appropriately are important.
