• Position: Executive Director Assistant

  • Hours: 21 hours per week
  • Employment Period: September 28, 2026 to December 23, 2026
  • Wage: $19 per hour
  • Reports to: Executive Director
  • Candidates must be legally entitled to work in Canada.

The candidate will report into the Executive Director.

The Executive Director Assistant Will

  • Assist the Executive Director with scheduling meetings, preparing documents, taking meeting minutes, and organizing files and records.
  • Support communication with partners, sponsors, funders, members, volunteers, and community stakeholders.
  • Assist with preparing reports, presentations, correspondence, and materials for Board and committee meetings.
  • Maintain accurate membership, participant, and program records using databases and spreadsheets.
  • Assist with the planning, coordination, and delivery of workshops, events, and community programs.
  • Support participant registration, attendance tracking, and follow-up communication.
  • Assist with program outreach, including distributing flyers, communicating with participants, and collecting feedback.
  • Conduct basic research on relevant community health, education, social, and community-development issues.
  • Support the promotion of IWOO programs through social media, newsletters, and community networks.
  • Respond to membership inquiries and assist with membership renewals and orientation.
  • Represent IWOO at outreach events, information booths, and partner meetings, when required.
  • Support the development and maintenance of partnerships with community organizations.
  • Assist with recruiting and engaging new members and volunteers.
  • Coordinate and schedule volunteer responsibilities and assignments.
  • Perform other administrative and program-related duties as assigned by the Executive Director.

The successful candidate should have:

  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, as well as familiarity with other digital tools.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills in English and Farsi.
  • Ability to work independently and collaboratively with staff, volunteers, Board members, and community partners.
  • A positive, professional, self-motivated, and solution-oriented approach.
  • Strong interpersonal and communication skills.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Availability for occasional evening or weekend work as required.
