Executive Corporate Services & ERP Coordinator

PMSuite ERP Administration

• Administer PMSuite records for employees, departments, projects, roles, salaries, attendance, leave, timesheets, tasks, and workflows.
• Monitor incomplete timesheets, overdue tasks, pending approvals, and inaccurate data.
• Prepare dashboards and reports, train employees, maintain user guidelines, and coordinate with PMSuite support.
• Improve company-wide PMSuite adoption and data accuracy.

IT, AI, and Automation

• Use AI tools to prepare reports, meeting minutes, HR documents, trackers, summaries, and business correspondence.
• Identify repetitive administrative tasks for automation using PMSuite, Microsoft 365, SharePoint, Excel, forms, and email.
• Maintain organized digital records and support basic software, access, file-management, and user-related IT issues.

Business Development Support

• Maintain CRM, client, lead, RFQ, tender, proposal, and follow-up records.
• Coordinate RFQs and proposal preparation between clients, management, technical teams, and commercial staff.
• Maintain company profiles, presentations, registrations, credentials, tender documents, agreements, and commercial correspondence.
• Prepare business development pipeline and pending-follow-up reports.

Corporate and Office Administration

• Coordinate Qatar office administration, vendors, licenses, registrations, insurance, invoices, payments, meetings, visitors, travel, and executive-office needs.
• Maintain confidential corporate records and coordinate information exchange between international offices.

Required Qualifications and Experience

• Bachelor's degree or diploma in business administration, HR, management, information systems, or a related field.
• Three to five years of experience in executive assistance, corporate services, office administration, HR coordination, ERP administration, or a similar role.
• Experience with ERP, HRIS, CRM, or project-management systems is required.
• Strong Microsoft Office knowledge, practical AI and automation experience, excellent English, and strong organization, documentation, and reporting skills are required.
• Experience working in Qatar is preferred.
