Role Overview
Executive Assistant to the Managing Director supporting administration and accounts coordination in a real estate environment.
The role manages documentation, MIS, payment follow-ups, internal coordination, and confidential business information.
Key Responsibilities
- Manage the Managing Director’s calendar, meetings, appointments, reminders, and daily schedule.
- Coordinate with Accounts, Finance, Legal, Sales, Projects, and Administration teams.
- Track payments, receivables, payables, expenses, invoices, and account-related follow-ups.
- Prepare MIS reports, Excel trackers, payment schedules, and management reports.
- Coordinate with chartered accountants, auditors, banks, vendors, and external agencies.
- Maintain agreements, property documents, invoices, approvals, and other important records.
- Follow up on pending tasks, payments, approvals, and commitments and provide updates.
- Prepare correspondence, letters, presentations, reports, meeting agendas, and minutes.
- Handle travel arrangements and other administrative requirements for the Managing Director.
- Maintain confidentiality and support smooth general office administration.
Candidate Profile
- Graduate in Commerce, Finance, or Business Administration is preferred.
- Three to seven years of experience in executive assistance, administration, accounts coordination, or a similar role.
- Experience in a real estate or construction company is preferred.
- The candidate should understand basic accounting, invoices, payments, reconciliation, and financial documentation.
- Strong knowledge of MS Excel, Word, PowerPoint, and email correspondence is required.
- Excellent follow-up, coordination, documentation, communication, and confidentiality skills are required.
- The candidate should be proactive, detail-oriented, trustworthy, and comfortable working with senior management.
Compensation
- Pay is ₹12,684.22–₹45,981.84 per month.
Workplace
- Work location is in person in Vileparle, Mumbai.
