Job Description

The Executive Assistant provides comprehensive administrative support to assigned executives and work groups.

The role performs routine and non-routine administrative, clerical, data collection, and reporting tasks under established procedures.

The role reports to a supervisor or manager and supports the smooth operation of daily activities.

Administrative and Clerical Support

  • Prepare, edit, and format correspondence, presentations, spreadsheets, reports, narrative documents, and graphical summaries.
  • Answer and route telephone calls, relay messages, receive and distribute mail, and draft routine correspondence and reports.

Data, Timekeeping, and Records

  • Collect, consolidate, verify, and distribute statistics and reports, including reconciliation of supplier invoices.
  • Review employee time reports, resolve discrepancies, track PTO, and maintain planned absence schedules.
  • Maintain employee directories, resumes, role changes, equipment records, service logs, and maintenance dates.

Budget, Facilities, and HR Support

  • Assist with overhead budget data, recurring budget reports, preliminary reconciliations, and financial tracking.
  • Coordinate seating plans and workspace allocations and request office equipment for new or transferring staff.
  • Update corporate directory systems, monitor performance appraisal timing, and prepare personnel action documents.

Supervision and Relationships

  • Provide day-to-day guidance to lower-level clerical and administrative staff without formal management responsibility.
  • Interact with employees, project teams, clients, suppliers, and government agencies as directed by the supervisor or manager.

Education and Experience

  • High school diploma or equivalent is required.
  • Six years of progressive administrative or executive assistant experience is required.
  • Experience in a fast-paced professional office environment is preferred.

Skills and Competencies

  • Proficiency in Microsoft Office, including Word, PowerPoint, and Excel.
  • Ability to improve operating practices, maintain accurate documentation, manage priorities, meet deadlines, and work independently.
  • Strong oral and written communication, organization, collaboration, and attention to detail.
