Executive Assistant & financial coordinator

Responsibilities

• Governmental Permits and NOCs
• - Handle and follow up on all governmental institution permits and NOCs.
• - Manage and follow-up design NOCs and construction NOCs issued by utility and governmental authorities.
• - Liaise with authorities/ service providers such as FEWA, DEWA (both electrical and water), Civil Defence, Dubai Municipality, Ras Al Khaimah Municipality, RERA, NAKHEEL, Dubai Land, and TARAKHEES.
• - Ensure timely approval and resolution of any issues related to permits and NOCs and highlight in timely matter any issues that can jeopardize the project’s timeline.
• Contractor Payments:
• - Follow up on payments to all contractors.
• - Manage payment processes through RERA and other relevant authorities.
• Telecom and Other Service Provider Coordination and Follow-Up
• - Coordinate with telecom service providers such as Etisalat and DU for necessary services and approvals.
• Project Handover:
• Possess the ability and knowledge to interact with authorities during the handover of construction projects.
• Ensure all necessary documentation and approvals are in place for a smooth handover process.
• Database Management
• - Update and maintain trackers with relevant information and documentation.
• Financial (quantity surveyor)
• -Assist in the project control process and assist Head of department in preparing the monthly cost reports.
• -Assist Head of department in following and organising the change management process for all running projects that requires weekly updates.
• -Assist in monitoring the policy compliance and DOA requirements.
• -Update the trackers for all bonds, insurances etc.
• -Assist in preparation of the payment's certificates
• -Update on the cost monthly report and updating the budget.
• -Deal with the audit comments and make sure that the policy and procedures is implemented and followed.
• -Deal with the finance team and update the project cashflows on monthly basis.
