Responsibilities
- Own and defend the CEO's daily calendar structure, protect deep work blocks, and manage scheduling across time zones
- Run the recruitment machine end to end: source and organize CVs, screen candidates, schedule interviews, and keep pipeline moving
- Produce manage personal content: coordinate filming, book locations and crew, plan shoot days
- Handle travel booking, appointments, reservations, and general admin
- Reconcile QuickBooks bi weekly, categorize expenses, and prepare monthly summaries for finance team
Requirements
- Proven experience as an Executive Assistant supporting a founder, partner, or senior executive who travels heavily and runs a fast moving business
- Dubai based with ability to work in person when needed
- Strong organizational and system building skills
- Proactive and able to think two steps ahead
- Excellent communication and coordination skills
- Total discretion with sensitive information

Vision for This Role
- IRG Media is being built between Dubai, Mumbai, the UK, and other cities; the EA must run with the founder.
- This is a fast paced environment; the EA must be able to kick off new hires, open new projects, and act on briefs immediately.
- The hiring engine and finance engine are key areas of ownership.
What You'll Own
- Calendar & coordination: Own and defend daily structure, schedule, reschedule, and manage time zones.
- Hiring pipeline operations: Run recruitment machine end to end, build trackers, keep candidates warm.
- Personal content & lifestyle production: Coordinate filming, book locations, plan shoot days, manage content ideas.
- Life & business admin: Travel booking, appointments, reservations, and follow through.
- Finance & QuickBooks reconciliation: Reconcile bi weekly, categorize expenses, prepare monthly summaries.

Compensation & Benefits
- $25 30 USD per hour, 15–20 hours per week, minimum pay of 10 hours a week guaranteed.
- Clear path to a full time seat at higher pay.
- Occasional travel with CEO.
- Dubai based, flexible hours around founder's working week.
- Direct exposure to founder and leadership layer.
Schedule & Location
- Part time (15–20 hours/week).
