Responsibilities

  • Oversee end‑to‑end export, import, and transshipment documentation processes to ensure accuracy, efficiency, and full regulatory compliance.
  • Manage the complete documentation cycle from booking confirmation to the issuance and release of Bills of Lading and Sea Waybills.
  • Ensure strict adherence to RCL SOPs, international trade regulations, and country‑specific documentation requirements.
  • Lead, guide, and supervise the documentation team to maintain high standards of accuracy, productivity, and service quality.
  • Review, validate, and endorse critical documents such as Bills of Lading, certificates, and customer‑specific documentation.
  • Monitor vessel cut‑offs and operational timelines to ensure timely submission of all documents and prevent delays or penalties.
  • Coordinate closely with Customer Service, Operations, Trade/Network, and Finance teams to maintain smooth workflow and effective issue resolution.
  • Liaise with freight forwarders, NVOCCs, shippers, consignees, customs, and port authorities to ensure seamless documentation handling.
  • Identify process gaps and drive continuous improvements to enhance documentation workflows and operational efficiency.
  • Ensure high data accuracy across all documentation systems, including DCS, Dubai Trade platforms, and EDI interfaces.
  • Support compliance with SOLAS VGM, manifest regulations, and other global shipping and maritime standards.
  • Handle documentation escalations, discrepancies, and corrections promptly to maintain customer satisfaction and avoid service failures.
  • Prepare documentation reports, KPIs, and audit materials to ensure transparency, governance, and performance tracking.
  • Train and develop team members on documentation standards, systems, procedures, and updated regulatory requirements.

Qualifications

  • Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, Maritime Studies, or a related field.
  • 4-6 years of experience in shipping, logistics, maritime operations, or back-office operations.
  • Strong knowledge of shipping documentation, import/export regulations, and customs compliance.
  • Strong leadership, team management, and coaching skills.
  • Experience with ERP or shipping/logistics systems is an advantage.
