About the Role

  • We are seeking an experienced Document Management Manager to lead the organization's document management strategy, records governance, and information lifecycle management initiatives.
  • The ideal candidate will oversee document control processes, implement enterprise document management systems, ensure regulatory compliance, and drive operational efficiency through effective information governance.

Key Responsibilities

  • Develop and implement document management strategies, governance frameworks, policies, standards, and procedures aligned with organizational objectives and regulatory requirements.
  • Lead enterprise document management, records management, document control, archival, retention, retrieval, and secure disposal processes.
  • Collaborate with Information Technology, Legal, Compliance, Quality Assurance, Operations, Human Resources, Finance, Project Management, and Executive Leadership to ensure effective document governance.
  • Manage the implementation, administration, and optimization of Electronic Document Management Systems (EDMS), document repositories, workflow automation, and digital recordkeeping solutions.
  • Establish document classification, version control, metadata standards, indexing, naming conventions, and document approval workflows.
  • Ensure compliance with information governance policies, regulatory requirements, industry standards, privacy regulations, and organizational procedures.
  • Monitor key performance indicators (KPIs) including document accuracy, retrieval efficiency, compliance rates, workflow turnaround time, audit readiness, user adoption, and records management performance.
  • Conduct document audits, compliance reviews, records assessments, and quality checks while identifying opportunities for process improvement.
  • Develop business continuity strategies for document preservation, disaster recovery, digital archiving, and information security.
  • Manage user access controls, document security permissions, confidentiality requirements, and information protection measures.
  • Leverage EDMS platforms, Microsoft SharePoint, Microsoft 365, ERP systems, Microsoft Office Suite, Power BI, workflow automation tools, and analytics platforms to optimize document management processes.
  • Prepare governance reports, compliance dashboards, audit documentation, executive presentations, and strategic recommendations for senior leadership.

Requirements

  • Bachelor's degree in Information Management, Business Administration, Library and Information Science, Records Management, Information Technology, Business Management, or a related field.
  • Master's degree or professional certifications in Records Management, Information Governance, Document Control, Project Management, AIIM, CIP, or equivalent are advantageous.
  • Minimum 5 years of experience in document management, records management, document control, information governance, or related roles.
  • At least 2 years of experience managing document control teams, enterprise document management systems, or information governance programs preferred.
  • Strong understanding of document lifecycle management, records retention, version control, information governance, compliance requirements, audit processes, and quality management systems.
  • Experience with Electronic Document Management Systems (EDMS), Microsoft SharePoint, Microsoft 365, OpenText, Laserfiche, M Files, ERP platforms, Microsoft Office Suite, Power BI, and workflow automation tools.
  • Knowledge of ISO standards, data privacy regulations, document security, business continuity, digital transformation, and cloud based document management solutions is advantageous.
  • Strong leadership, organizational, analytical, communication, stakeholder management, and problem solving skills.
  • Ability to manage multiple document management initiatives while balancing compliance, security, operational efficiency, and business priorities.
  • Ability to work independently and effectively in remote and hybrid environments.
