Job Purpose

  • Support the document management process across engineering and construction projects.
  • The Document Controller is responsible for organizing, tracking, and maintaining all project documentation in accordance with company standards and project requirements.

Duties And Responsibilities

  • Maintain the document control system to ensure accurate tracking, archiving, and retrieval of project documents.
  • Follow established document control procedures and ensure compliance with company and client requirements.
  • Coordinate the receipt, registration, distribution, and filing of engineering drawings, submittals, specifications, RFIs, and other project documents.
  • Review documents for completeness and proper formatting before issuing or uploading.
  • Ensure timely distribution of controlled documents to internal teams and external stakeholders.
  • Monitor document status and maintain up‑to‑date logs throughout the project lifecycle.
  • Generate regular document control reports as required by the project team.
  • Support project managers, engineers, consultants, and contractors in proper documentation handling.
  • Assist in maintaining organized electronic and hard‑copy filing systems.
  • Provide basic guidance to team members on document control processes and system usage when needed.

Qualifications, Knowledge & Skills

  • Bachelor's Degree from a recognized university with at least 3 years of relevant experience.
  • Diploma from a recognized institution with at least 7 years of relevant experience.
  • Solid understanding of document control principles and practices in engineering or construction environments.
  • Experience using Oracle‑based document control platforms (e.g., Aconex, Primavera Unifier, or similar).
  • Strong organizational skills and high attention to detail.
  • Good interpersonal and communication skills.
  • Ability to manage multiple tasks, work independently, and meet deadlines.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Knowledge of ISO document control standards is an advantage.
