Key Responsibilities For Document Controller
- Manage the complete movement and control of project documents, including incoming and outgoing information in both electronic and hard-copy formats, in accordance with established procedures and standards.
- Operate and maintain an effective Document Control System (DMS) for all project-related documents, correspondence, drawings, technical submissions, and records.
- Receive, register, log, track, and distribute incoming and outgoing documents to the relevant project teams and stakeholders.
- Maintain accurate Document Registers, Drawing Registers, Transmittal Logs, and Correspondence Registers, ensuring all records are current and easily accessible.
- Prepare and issue transmittals, document submittals, technical submissions, RFIs, drawings, material submittals, and other project documentation in accordance with project procedures.
- Ensure controlled distribution of approved drawings, specifications, method statements, reports, and other project documents.
- Issue and distribute controlled copies in accordance with the Project/Design Management Plan and approved document control procedures.
- Monitor document status, revisions, approvals, and distribution to ensure that only the latest approved versions are available for use.
- Check drawings and technical documents for correct revision, document number, status, format, title block, and required approvals before issue.
- Maintain and monitor As-Built drawings, approved-for-construction drawings, shop drawings, design drawings, and technical documentation throughout the project lifecycle.
- Coordinate with consultants, designers, subcontractors, specialist suppliers, engineers, and site teams regarding document submissions, revisions, comments, and information requirements.
- Follow up on overdue submissions, approvals, responses, and document actions, maintaining appropriate tracking logs.
- Assist project teams in retrieving and accessing required documents and provide guidance on document control procedures and system usage.
- Troubleshoot document management system issues and coordinate with IT or relevant personnel regarding system and peripheral problems.
- Ensure proper filing, indexing, archiving, and retrieval of both electronic and hard-copy project records.
- Maintain document confidentiality, security, and appropriate access permissions in accordance with company and project requirements.
