Key Responsibilities

  • Manage the full submittal process for projects, including material submittals, shop drawings, RFIs, method statements, and technical documentation. Maintain a structured register, track review status, and ensure timely submission and approval cycles to avoid project delays.
  • Support the preparation, compilation, and control of documentation required for landlord and statutory authority approvals. Coordinate submission packages, and ensure all required documentation is available for completion certificates and close out processes.
  • Establish and maintain proper filing systems in line with project procedures, ensuring accurate version control, distribution logs, and secure document archiving. Ensure all stakeholders are working from the latest approved documentation.
  • Coordinate document flows between consultants, designers, contractors, and specialist suppliers. Ensure all submissions meet the required format, specification standards, and project timelines before being issued for review.
  • Assist the Project Manager in ensuring that approved submittals align with brand standards, project specifications, and statutory compliance requirements. Highlight missing approvals, expired documentation, or non conforming submissions.
  • Compile final project documentation including as built drawings, O&M manuals, warranties, test certificates, and authority completion records. Ensure structured document handover for operational maintenance and defect period requirements.

Qualifications / Skills

  • Proven experience as a Document Controller within commercial fit out, or construction projects, with strong focus on submittals.
  • Solid understanding of UAE landlord and statutory authority documentation and approval processes.
  • Strong knowledge of document control systems, registers, workflows, and ISO compliant filing practices is an advantage.
  • Familiarity with technical drawings, MEP documentation, and construction submittal requirements.
  • High attention to detail and ability to manage large volumes of documentation under tight deadlines.
  • Strong coordination and communication skills with consultants, contractors, suppliers, and internal stakeholders.
  • Proficient in Microsoft Office and document management platforms.
  • Highly organized, proactive, and able to work effectively within fast paced project environments.
