Document Management
- Maintain and organize all incoming and outgoing project documents.
- Ensure proper filing (electronic and hard copy) in line with company standards.
- Control document numbering, sorting, filing, and retrieval.
Document Control System
- Manage document control systems (e.g., Aconex, EDMS).
- Ensure all documents are up-to-date and accessible to relevant stakeholders.
- Track revisions and maintain version control of drawings and documents.
Coordination & Distribution
- Distribute documents to project teams, consultants, and subcontractors.
- Ensure timely submission and receipt of documents.
- Liaise with engineers, project managers, and external parties.
Compliance & Quality Assurance
- Ensure documents comply with company standards and project requirements.
- Maintain confidentiality and security of sensitive information.
- Support audits by providing required documentation.
Reporting
- Generate reports on document status, delays, and outstanding submissions.
- Maintain logs (e.g., transmittals, RFIs, submittals, drawing registers).
Archiving
- Archive completed project documents in accordance with company policies.
- Ensure proper handover documentation at project completion.
