Document Processing and Logging
- Receive, register, and log incoming and outgoing technical drawings, reports, contracts, and correspondence in a central register.
- Assign unique identification codes and apply strict naming conventions based on project standards.
Quality and Version Control
- Conduct quality checks for legibility, required signatures, and completeness.
- Ensure active version control so stakeholders use only the latest approved revisions.
- Archive obsolete documents safely.
Distribution and Coordination
- Coordinate with project managers, engineers, and external stakeholders to distribute documents according to the project distribution matrix.
- Follow up on pending reviews, approvals, and transmittals to prevent workflow bottlenecks.
Archiving and Security
- Manage secure long-term archiving, digital backups, and quick-retrieval systems.
- Control user access levels and maintain audit trails to protect confidential data and proprietary designs.
Reporting and Auditing
- Generate regular document control and progress status reports for senior management.
- Conduct internal document audits and ensure compliance with quality standards such as ISO 9001.
