Overview
- Establish and maintain the Project document control system in accordance with Contract requirements and Company procedures.
- Register, track, and distribute all incoming and outgoing project correspondence and technical documents.
- Ensure timely submission of documents to the Company and the Consultant in line with approved document control procedures.
- Maintain accurate document logs, registers, and transmittal records.
- Proficiency in document control systems
- Monitor document status (submitted, under review, approved, rejected, etc.) and follow up with relevant departments when necessary.
- Ensure proper version control and prevnt the use of superseded documents.
- Maintain systematic electronic and hard-copy filing systems to ensure full traceability and easy retrieval.
- Support preparation of reports related to document status and submission progress.
- Assist in document archiving and handover at project close-out stage.
- Ensure confidentiality and security of controlled documents.
-Authorities
- Access and manage the Project document control system and databases.
- Return or reject improperly formatted or incomplete submissions in accordance with document control procedures.
- Request clarification or missing information from relevant departments for proper registration and filing.
- Enforce document numbering, revision control, and submission procedures across the Project team.
-Accountabilities:
- Accuracy and completeness of all document registration and records.
- Timely distribution and submission of project documents.
- Proper version control and prevention of superseded document use.
- Compliance of document control practices with Contract requirements and Company procedures.
- Proper archiving and traceability of project documentation throughout the project lifecycle.
