Main Duties & Responsibilities
- Manage and maintain all incoming and outgoing project documents,
- correspondence, and records.
- Ensure all documents are properly logged, categorized, filed, and archived
- according to company procedures.
- Maintain document control registers, tracking logs, and filing systems for:
- o Drawings
- o Technical submittals
- o Material submittals
- o RFIs
- o Shop drawings
- o Method statements
- o Inspection requests
- o Contracts and correspondence
- Distribute approved documents to relevant departments, consultants, clients,subcontractors, and site teams.
- Monitor document revisions and ensure only the latest approved versions are in circulation.
- Coordinate with project managers, engineers, procurement team, consultants,
- and subcontractors regarding document submissions and approvals.
- Prepare transmittals for document submissions and maintain accurate records of all submissions.
- Follow up on pending approvals, comments, and document status updates.
- Ensure confidentiality and security of all company and project documents.
- Assist in preparing reports related to document control activities and project documentation status.
- Organize and maintain both electronic and hard copy filing systems.
- Support project teams during tendering, execution, and handover stages.
- Prepare final project documentation and close-out files upon project completion.
- Ensure compliance with company standards, ISO procedures, and project requirements.
- Assist administrative and project teams with general coordination and documentation support when required.
