Key Responsibilities

  • Coordinate and schedule depositions for 15 attorneys in a high-volume legal practice.
  • Manage attorneys' deposition calendars and maintain the office master calendar.
  • Communicate with attorneys, clients, business partners, opposing counsel, co-defendants, court reporters, and other parties to identify mutually available dates and secure scheduling commitments.
  • Monitor upcoming depositions and proactively address scheduling conflicts or changes.
  • Enter, update, and maintain deposition-related information within the department's document management and case management systems.
  • Generate correspondence, notices, and scheduling letters using established templates.
  • Track deposition outcomes and maintain accurate records regarding deposition status, completion dates, adjournments, cancellations, and rescheduling activities.
  • Update case management systems with current deposition information and status changes.
  • Ensure all scheduling activities comply with established procedures and deadlines.
  • Maintain accuracy and quality control of calendar and case-related data.
  • Handle sensitive, confidential, and privileged information in accordance with company policies and legal requirements.
  • Provide administrative support related to deposition management and attorney scheduling needs.

Required Qualifications

  • High school diploma or equivalent required; Associate degree preferred.
  • Minimum of 3 year of legal administrative support experience and working knowledge of the New York litigation practices and deposition scheduling procedures.
  • Demonstrated experience managing calendars, appointments, or complex scheduling functions.
  • Advanced proficiency with Microsoft Outlook, including calendar management and scheduling.
  • Working proficiency with the Microsoft Office Suite: Word, Excel, PowerPoint & Outlook
  • Strong time management skills.
  • Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while maintaining effective collaboration with multiple stakeholders.
  • Strong attention to detail and commitment to accuracy.

Additional Information

*NOTE* This is a remote position; however, the selected candidate may be required to work from our New York City, NY office on an as-needed basis for business, training, or team-related activities.

Compensation

  • The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:
