Department Administration Assistant

Responsibilities

• Provide administrative support including the preparation of reports, presentations, meeting agendas, minutes and communications
• Manage document control, electronic records, shared inboxes, correspondence and filing systems
• Coordinate onboarding activities for new team members, including IT access, equipment, inductions and workspace setup
• Support recruitment administration and employee-related initiatives
• Process invoices, financial documentation, expense reconciliations and travel bookings
• Assist with the planning and delivery of conferences, leadership forums, workshops, town halls and team events
• Maintain administrative systems, records and reporting requirements
• Contribute to process improvements and initiatives that enhance team effectiveness and operational efficiency
• About You
• Previous experience in an administration, office support or coordination role
• Strong organisational skills with excellent attention to detail
• Ability to manage competing priorities and meet deadlines in a fast-paced environment
• Strong written and verbal communication skills
• Intermediate to advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook
• Experience using administrative systems and maintaining accurate records
• A proactive and collaborative approach, with the ability to build positive relationships across diverse teams
• Experience with Power BI, Copilot or other emerging technologies will be highly regarded
• Certificate IV in Business Administration (preferred but not essential)
