Key Responsibilities

  • Document control: documents to be collected, scanned, uploaded and maintained, some to be sourced from vendors and others internally for all projects.
  • Support in documentation to close audit findings.
  • Support to establish, create and maintain logs formats procedures as advised.
  • Preparation and maintenance of logs for AMC findings, compliance certificate, trainings, perform data entry, maintain records, and ensure accurate filing systems.
  • Follow up on emails to ensure records from the firefighting contractor are received and filed.
  • Maintain, store, and manage hard copy and digital documents of all records from vendors for AMC ensuring proper classification and version control.
  • Upload and maintain all documents in shared drive.
  • Prepare & format forms, reports, and minutes of meetings.
  • Update trainings logs, collate all previous data, scan, and maintain.
  • Follow up with employees to attend compliance trainings firefighting, first aid etc upon scheduling until completion.
  • Check incoming and outgoing documents for accuracy, quality standards, and formatting compliance.
  • Other admin, document maintenance, and document control tasks as advised by the reporting manager.
