About the Role
We are hiring a CRM & Tendering Document Controller to manage customer relationships, maintain project records, coordinate tender documentation, and ensure document control. The role supports Sales, Estimation, Projects, and Production teams.

Responsibilities
- Maintain and update the company's CRM system with customer, consultant, contractor, and project information
- Manage and maintain project information in the Odoo ERP system, ensuring all CRM records, tender documents, project documents, quotations, and customer information are accurate and up to date
- Generate CRM reports for management
- Coordinate communication with clients regarding quotations, approvals, and project updates
- Maintain document numbering and revision control
- Register incoming and outgoing project correspondence
- Archive all tender and project documents electronically and physically
- Review tender requirements and submission deadlines
- Prepare and compile technical and commercial tender documents
- Organize drawings, specifications, BOQ, method statements, material catalogues, certifications, company profiles, and other required documents
Requirements
- Experience in CRM management and document control
- Familiarity with AI assisted document management and report generation
- Experience using AI productivity tools for document preparation, content drafting, data analysis, and workflow automation
- Ability to leverage AI tools to improve accuracy, efficiency, and document quality while maintaining confidentiality and compliance

Job Purpose
- The CRM & Tendering Document Controller is responsible for managing customer relationships, maintaining project and client records, coordinating tender documentation, and ensuring all project documents are properly controlled from tender stage through project completion.
- The role supports the Sales, Estimation, Projects, and Production teams to ensure accurate documentation, timely submissions, and effective communication with clients.
Key Responsibilities
- Maintain and update the company's CRM system with customer, consultant, contractor, and project information.
- Manage and maintain project information in the Odoo ERP system, ensuring all CRM records, tender documents, project documents, quotations, and customer information are accurate, complete, and up to date.
- Generate CRM reports for management.
- Coordinate communication with clients regarding quotations, approvals, and project updates.
- Familiarity with AI assisted document management, report generation, and information retrieval to support CRM and tendering processes.
- Maintain document numbering and revision control.
