- Assist Project Managers with the day-to-day coordination and administration of construction projects.
- Track project schedules, deadlines, deliverables, and outstanding items.
- Coordinate communication between project managers, field staff, subcontractors, vendors, and clients.
- Prepare, organize, and maintain project documentation, including contracts, plans, reports, RFIs, submittals, change orders, and other project records.
- Assist with subcontractor and vendor coordination and follow up on outstanding items.
- Track purchase orders, invoices, deliveries, and project-related expenses.
- Help prepare project reports, meeting agendas, meeting minutes, and progress updates.
- Maintain accurate project files and ensure documentation is organized and up to date.
- Assist with scheduling inspections, site visits, meetings, and other project activities.
- Monitor project action items and follow up with responsible parties to keep work moving forward.
- Support the preparation and processing of change orders, pay applications, and other project paperwork.
- Communicate project updates and potential issues to the appropriate team members.
- Provide general administrative and operational support to the Project Management team.
- Perform other duties as assigned.
- 5+ years of experience in construction, project coordination, project administration, or a related field preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects, priorities, and deadlines simultaneously.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience with construction management software is a plus.
- Ability to read and understand construction documents and project schedules preferred.
- Ability to work independently while also functioning effectively as part of a team.
