Compliance administrator

Based: Riyadh- Saudi Arabia

  • The compliance administrator is responsible for all aspects in relation to company (all Jones Engineering Group’s subcontractors and suppliers) adherence to local legislation, Jones Engineering Group requirements and Client requirements in regard to worker welfare.
  • The compliance administrator will liaise directly with Project Management teams on site and Jones Middle East Leadership Team as required to ensure all aspects of worker welfare for projects and regional offices are in place.
  • Direct line of report to the compliance officer
  • Review existing contracting practices to ensure Jones Engineering Group (JEG) worker welfare standards are adhered to by existing subcontractors and suppliers (supply chain).
  • Track, maintain and update the log of active subcontractors and suppliers who are compliant to local regulations and JEG and Client worker welfare standards.
  • Ensure that any updates to JEG standards are cascaded through procurement/contracts teams and to all suppliers and subcontractors as well as project teams.
  • Conduct a prequalification on all new suppliers and subcontractors prior to contract signing and escalate worker welfare compliance issues to the compliance team and project management teams.
  • Carry out periodic maintenance worker welfare audits on existing supply chain to ensure continued adherence to the applicable requirements.
  • Review, update and implement updates to the pre-qualification process, as needed.
  • Work with the existing and potential supply chain to remedy worker welfare issues and ensure implementation of corrective action plans to prevent re-occurrence.
  • Advise and assist in the implementation of the prequalification plan with contracts/procurement teams.
  • Advise and assist pre-construction teams in establishing client worker welfare requirements and resources associated with maintaining those requirements.
  • Support development and implementation of JEG hiring practices of new labour and staff that comply with worker welfare standards. Work with recruitment partners to ensure the recruitment and employment practices are in line with the worker welfare standards.
  • Develop and implement procedure(s) for JEG to ensure any worker entering onto a JEG site is compliant with the worker welfare requirements prior to site induction.
  • Liaise with Client appointed welfare team / 3rd party auditor team to facilitate audits. Work across the project EHS and project admin teams to ensure an on-schedule completion of audits from JEG’s perspective.
  • Liaise with Client appointed welfare team / 3rd party auditor team to review audit findings and advise on remediation measures.
  • Implement, manage and track the close out of audit findings. Provide regular updates on audit close outs to operations teams, the operations director, as well as client representatives.
  • Regular communication and follow ups with the supply chain representatives on JEG or Client audit requirements, and all remediation actions based on audit findings.
  • Work as a confidential point of contact for supply chain workers’ grievances and manage receiving, resolving and liaising with concerned representatives to remedy grievance. Track and maintain records of all worker grievances and resolution and escalate as required. Maintain confidentiality of all information related to worker grievances at all times.
  • Input to procurement periodically for vendor/subcontractor reviews in relation to supply chain performance on worker welfare management.
  • Maintain records of Laws, Regulations and Directives, which impinge on JEG business activities.
  • Monitor and review published updates in KSA laws relevant to worker welfare to ensure JEG compliance. Flag any KSA law change to the compliance team and plan for incorporating change into the worker welfare management framework.
  • Provide or organize training courses to meet identified needs on sites.
  • Prepare and maintain Worker Welfare stats for all projects for issuing to the respective Project Managers and Senior Leadership Team.
  • Attend Meeting with Jones global HR teams for cross collaboration on worker welfare as required.
  • Maintain and manage confidential information required for worker welfare requirements and audits.
  • Ensure safe storage and destruction of confidential information as required by GDPR / local requirements.
  • Attend training as requested.
  • Give training as required.
  • Provide regular input to the continuous improvement log (lessons learned), implementing changes where deficiencies are identified and corrective actions proposed.
