About Al Zubarah Investments

Role Purpose

  • The Chief of Staff is the operational backbone of Al Zubarah Investments.
  • Sits at intersection of administration, operations, finance, accounting, governance, and family services.
  • Ensures everything not directly managed by MD and Director of Investments is handled with precision.

Office Administration & Executive Support

  • Manage day to day running of the office.
  • Maintain and coordinate calendars of MD and Director of Investments.
  • Organize and prepare materials for meetings, including agendas and minutes.
  • Manage inbound correspondence and draft communications.
  • Coordinate domestic and international travel logistics.
  • Oversee office supplies, equipment, vendor contracts, and facilities management.

Accounting & Bookkeeping

  • Serve as primary bookkeeper, maintaining complete financial records.
  • Record all income, expenses, transfers, distributions, and capital transactions.
  • Perform monthly bank reconciliations across all accounts.
  • Prepare monthly management accounts (P&L, balance sheet, cash flow).
  • Assist in preparation of year end financial statements and liaise with auditors.
  • Maintain chart of accounts and ensure accurate coding of transactions.

Invoice & Payments Management

  • Manage full accounts payable cycle: receive, review, code, obtain approval.
  • Process payments via banking platforms, ensuring accurate settlement.
  • Maintain payments calendar to ensure no invoice falls due without notice.
  • Reconcile supplier statements and resolve discrepancies.
  • Manage petty cash and staff expense reimbursements.
  • Track recurring fees and flag deviations from agreed terms.

Document Management & Archiving

  • Design, implement, and maintain comprehensive digital and physical filing system.
  • Ensure all key documents are properly indexed, version controlled, and securely stored.
  • Maintain master document register with expiry and renewal dates.
