About the Organisation

  • The Organisation is a Single Family Office (SFO) licensed by the Qatar Financial Centre (QFC), managing and preserving the wealth of a principal family across a diversified portfolio of local and international investments.

Role Purpose

  • The Chief of Staff (CoS) is the operational backbone, sitting at the intersection of administration, operations, finance & accounting, governance, and family services.

Office Administration & Executive Support

  • Manage day to day running of the office
  • Maintain and coordinate calendars of the Managing Director
  • Organise and prepare materials for meetings, including agendas and minutes
  • Manage inbound correspondence and draft communications
  • Coordinate domestic and international travel logistics
  • Oversee office supplies, equipment, vendor contracts, and facilities management
  • Maintain office procedures manual

Accounting & Bookkeeping

  • Serve as primary bookkeeper, maintaining complete and accurate financial records
  • Record all income, expenses, transfers, distributions, and capital transactions
  • Perform monthly bank reconciliations
  • Prepare monthly management accounts (P&L, balance sheet, cash flow)
  • Assist in year end financial statements and liaise with auditors
  • Maintain chart of accounts and fixed asset registers
  • Monitor liquidity positions and flag funding needs

Invoice & Payments Management

  • Manage full accounts payable cycle
  • Process payments via banking platforms
  • Maintain payments calendar
  • Reconcile supplier statements
  • Manage petty cash and expense reimbursements
  • Track recurring fees and flag deviations

Document Management & Archiving

  • Design and maintain digital and physical filing systems
  • Ensure key documents are indexed, version controlled, and securely stored
  • Maintain master document register with expiry and renewal alerts
  • Ensure document access controls and confidentiality
  • Coordinate execution, notarisation, and apostille of documents
  • Support due diligence processes

Regulatory & Compliance Liaison

  • Act as primary point of contact for QFC Authority and QFCRA
  • Track and manage QFC licence renewals and regulatory submissions
  • Liaise with external professional advisors and service providers
  • Maintain service provider register
  • Monitor regulatory developments relevant to SFOs in Qatar
  • Coordinate AML/KYC documentation

Investment Committee & Governance Support

  • Coordinate administrative aspects of IC meetings
  • Draft and maintain IC meeting minutes and track action items
  • Maintain IC calendar
  • Prepare financial schedules requested by IC
  • Maintain register of IC members
  • Assist in maintaining governance framework documentation

Family Concierge Services

  • Provide high quality concierge support to the principal family
  • Coordinate personal payments and financial matters
  • Assist with property related administration
  • Coordinate and track family's insurance portfolio
  • Support family members with document requests and liaison with government offices

Education

  • Bachelor's degree in Accounting, Finance, or closely related field required
  • Professional accounting qualification (CPA, ACCA, ACA, CMA, or equivalent) strongly preferred
