Duties and Responsibilities *Under the direction of the Department Chair, manages daily administrative, fiscal, and personnel operations to ensure seamless department functioning. *Oversees front office operations, serving as the primary intake point for visitors, mail, and departmental inquiries. *Coordinates travel, lodging, scheduling, and payment arrangements, including honoraria and reimbursements for visiting departmental guests and job applicants. *Serves as sub-coordinator for departmental parking permit requests. *Prepares and reviews fiscal, travel, procurement and personnel documents for compliance with applicable University of Hawaii (UH), UH Foundation (UHF), Research Corporation of the University of Hawaii (RCUH), state, federal, contract rules and regulations. Ensures accurate posting to accounts and resolves discrepancies with appropriate parties. *Develops and maintains an internal accounting system to track the Department’s encumbrances and expenditures to ensure spending is within approved budget allocations for all funding sources. *Manages UH, RCUH, and UH Foundation funds for the Department. *Manages the recruitment, hiring, and onboarding of student assistants via SECE; approves electronic timesheets and ensures compliance with student employment policies. *Manages departmental room access codes and serves as the primary point of contact for the security service provider Update information on the department website as needed. Other duties as assigned. * Denotes essential functions Minimum Qualifications Possession of a baccalaureate degree in Arts and Sciences, Business Administration or related field from an accredited college or university. Demonstrated initiative and ability to work independently. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. Strong organization skills and attention to detail. Strong computer skills, including Microsoft Office, and Google suite. Desirable Qualifications Familiarity with UH (Kuali, eTravel, etc.), RCUH, and/or UH Foundation Financial systems. Professional experience with responsibilities for administrative support. Experience working in an institution of higher education. Proficiency in spreadsheet applications. Experience with website management.
