Overview
- Respond to every inbound WhatsApp lead within 30 minutes during working hours to maximize inbound conversion.
- Qualify leads by asking relevant questions about animal types, quantities needed, location, and purchase history.
- Match leads to appropriate Zawiah AE products and provide accurate pricing, availability, and delivery details.
- Follow up on leads with a structured 3-touch sequence (Day 1, Day 3, Day 7) to increase conversion chances.
- Log every inbound lead in the tracking sheet capturing source, date, animal type, product interest, and outcome.
- Escalate complex or large-volume enquiries to the CEO with a comprehensive lead summary.
- Monitor outbound WhatsApp marketing replies and promptly respond to interested prospects.
- Conduct proactive outbound calls and WhatsApp messages to new and lapsed prospects with a structured follow-up.
- Run a structured 3-step follow-up: initial contact, product/stock update, final check-in if no response.
- Use stock arrival alerts as outreach hooks to engage prospects.
- Record every outreach attempt and outcome in the daily tracking sheet and update contact status after each interaction.
- Identify and flag high-potential prospects and escalate with tailored approach recommendations.
- Confirm product availability with operations before committing to customers.
- Communicate pricing, minimum order quantities, payment terms, and delivery timelines accurately.
- Coordinate with operations/logistics to confirm and schedule deliveries.
- Follow up after deliveries to ensure customer satisfaction and encourage repeat orders.
- Identify upsell opportunities by suggesting complementary products.
- Update the daily lead tracking sheet consistently with no exceptions.
- Share weekly summaries with the CEO detailing contacts reached, leads qualified, orders converted, and pipeline value.
- Analyze and flag conversion patterns by segment, product inquiry, and outreach message effectiveness.
- Contribute to improvement of sales scripts, message templates, and follow-up sequences based on feedback.
