Business Administration Support

We are seeking a highly organised and detail-focused Business Administration / Customer Service Support professional to join our team in Brisbane.

This role will operate across our offices in Acacia Ridge and Brendale and report directly the Customer Service Manager and is offered as a full time permanent position.

The successful candidate will provide essential administrative and operational support to the business, ensuring accurate data management, documentation, reporting, invoicing and coordination across internal teams.

You will work closely with administration, management and field-based teams to ensure business processes are completed efficiently and to a high standard.

• Demonstrate experience in customer service, including the ability to display empathy and active listening skills. Provide a high level of customer service and act as the first point of contact for customer enquiries via phone and email.
• Keeping the customer at the centre of your thinking by taking responsibility and ownership for customer satisfaction, loyalty and responding to customer enquiries related to their bookings in an effective manner
• Provide day-to-day administrative and business support to the wider team.
• Maintain accurate customer, job and business records within company systems and CRM platforms.
• Process invoices, purchase orders and other administrative documentation with a high level of accuracy.
• Coordinate appointments, job bookings and scheduling requirements as required.
• Prepare, collate and maintain reports, spreadsheets and business documentation.
• Assist with data entry, record keeping and maintaining databases to ensure information is current and compliant.
• Monitor administrative tasks and follow up outstanding items to ensure deadlines and business requirements are met.
• Liaise with internal departments, customers, builders and external stakeholders to obtain and provide relevant information.
• Assist with resolving administrative queries and ensuring matters are followed through to completion.
• Maintain clear and accurate documentation to support field and office teams.
• Ensure confidential information is handled with tact, professionalism and discretion.
• Identify opportunities to improve administrative processes, systems and efficiencies.
• Provide general office and administrative support to the Business Administration Team Lead and wider business as required.
• Work collaboratively with team members while also managing tasks independently.

The ideal candidate will have:

• Previous experience in business administration, office administration, business support or coordination (essential).
• Strong organisational skills and excellent attention to detail.
• Experience managing high volumes of administrative tasks and competing priorities.
• Strong data entry and document management skills.
• Experience working with CRM, database and web-based systems.
• Proficiency in Microsoft Office, particularly Outlook, Word and Excel.
• Excellent written and verbal communication skills.
• Strong time management skills and the ability to meet deadlines and business targets.
• Proven problem-solving and analytical skills.
• The ability to work calmly and accurately under pressure.
• A professional, reliable and proactive approach to work.
