Responsibilities
- Manage and regularly update the CEO’s calendar, meetings, appointments, and priorities
- Coordinate internal and external meetings, client visits, exhibitions, and presentations
- Prepare reports, emails, meeting notes, presentations, quotations, and official documents
- Follow up on assigned tasks, action items, deadlines, and ongoing projects
- Track basic operational and financial data and assist with report preparation
- Maintain organized records, files, correspondence, and project documentation
- Respond professionally to inquiries from clients, suppliers, and business partners
- Support customer interactions and ensure smooth communication between internal teams and external stakeholders
- Attend meetings, exhibitions, and business presentations with the CEO when required
- Represent the CEO in selected meetings or follow ups when authorized
- Assist colleagues with preparing documents, reports, and presentations
- Arrange all necessary requirements for meetings, client visits, and company events

- Strong written and verbal communication skills
- Professional, polite, respectful, responsible, and detail oriented personality
- Ability to manage multiple tasks, meet deadlines, and work effectively under pressure
- Strong interpersonal and customer service skills
- Ability to communicate confidently with clients, partners, and colleagues
- Ability to work independently and collaboratively as part of a team
- Proficiency in Microsoft Word, Excel, PowerPoint, email, and office productivity tools
- Good command of English is required; Arabic is an advantage
- Diploma or bachelor’s degree in business administration, management, or a related field is preferred
- Previous experience in an administrative, coordination, executive assistant, or similar role is an advantage but not mandatory

- FFbots works closely with emergency services to refine its solutions and deliver reliable, mission ready robotic assistance.
Role Overview
- FFBOTS is expanding its team and is looking for a positive, calm, professional, and highly organized Assistant to the CEO to join our Dubai office.
- This is a full time, on site role supporting the CEO with daily administrative, operational, and project related activities.
- The successful candidate will work closely with the CEO, internal teams, clients, suppliers, and business partners.
