Position Overview
The Assistant Project Manager – Facilities Engineer supports the Project Manager in facilities management, operations, and maintenance activities.
The role supports service continuity, asset reliability, operational efficiency, client satisfaction, and compliance with contracts, KPIs, SLAs, and company policies.
The position supports workforce planning, resource management, cost control, reporting, and coordination with clients, contractors, suppliers, and internal departments.
Operations and Maintenance
- Supervise daily operations and maintenance activities and ensure preventive and corrective maintenance follows approved plans and SLAs.
- Follow up on breakdowns, work orders, technical requests, inspections, recurring breakdowns, and corrective actions.
- Monitor MEP, HVAC, fire protection, and other facility systems, and oversee contractor compliance with scope, quality, and safety requirements.
Workforce and Asset Management
- Supervise operations and maintenance teams, allocate tasks, prepare work, shift, and leave schedules, and monitor attendance, productivity, and performance.
- Identify training needs, support employee development, and ensure compliance with company policies and SOPs.
- Maintain facilities, assets, equipment, and records, and coordinate spare parts, materials, and tools with stores and procurement.
- Support energy, water, operational cost-saving, waste reduction, recycling, and environmental initiatives.
Quality, Client, and Contractor Coordination
- Monitor contract requirements, technical specifications, KPIs, SLAs, service performance, complaints, observations, inspections, audits, and corrective actions.
- Respond to client requests, participate in meetings, coordinate with contractors, consultants, and internal departments, and escalate critical matters.
- Maintain professional client relationships and identify potential issues proactively to support service quality and satisfaction.
Reporting and Financial Control
- Prepare daily, weekly, and monthly operations and maintenance reports covering maintenance, breakdowns, manpower, productivity, and KPIs.
- Support project budget preparation, monitor operating costs and resource utilization, and recommend cost-saving and efficiency improvements.
- Monitor consumption of materials, spare parts, water, and energy, and support the Project Manager in meeting financial and operational objectives.
HSE and Stores
- Ensure HSE policies and safe work procedures are followed, monitor PPE compliance, and report hazards, incidents, and unsafe conditions.
- Coordinate with HSE and the Emergency Response Team and support emergency response and evacuation procedures.
- Monitor receiving, issuing, storage, inventory, material preservation, stock levels, key control, restricted-area access, and maintenance workshop readiness.
Reporting Line and Additional Duties
The position reports directly to the Project Manager and operates within the approved delegation of authority and company authority matrix.
Support the Project Manager and project management team, participate in meetings and training, maintain confidentiality, and perform related duties assigned by management.
Requirements
- Experience or capability in facilities management, operations, and maintenance activities.
- Ability to supervise operations and maintenance teams and coordinate workforce resources.
- Knowledge of MEP, HVAC, fire protection, and other facility systems.
- Ability to monitor preventive and corrective maintenance, work orders, breakdowns, and service requests.
- Ability to manage contractors, service providers, client coordination, and operational escalations.
- Ability to monitor contract requirements, technical specifications, KPIs, and SLAs.
- Capability in operational reporting, budget preparation, cost monitoring, and resource utilization.
- Knowledge of HSE policies, PPE compliance, safe work procedures, and emergency response.
- Ability to maintain accurate asset, maintenance, technical, operational, and inventory records.
- Ability to coordinate stores and procurement activities for spare parts, materials, tools, and stock levels.
