Assistant Project Manager

Overview

Responsibilities

• Coordinate and organize documentation, including vendor proposals, contracts, and service agreements.
• Assist in the preparation of project briefs, timelines, and resource allocation plans.
• Communicate with internal departments and external vendors to gather necessary information and clarify project requirements.
• Maintain organized project files and databases, ensuring all pre-contract materials are properly documented and easily accessible.
• Support the senior project manager in analyzing vendor proposals and preparing comparative assessments.
• Track and monitor pre-contract milestones and deliverables to ensure timely project progression.
• Prepare meeting agendas, minutes, and status reports for project stakeholders.
• Identify and escalate potential risks or issues during the pre-contract phase.
• Assist in customizing project templates and checklists specific to hospitality requirements.
• Coordinate site visits and inspections as needed during the pre-contract phase.
• Manage administrative tasks including scheduling, correspondence, and vendor follow-ups.

Qualifications

• 3+ years of experience in project coordinator or assistant project manager capacity.
• Experience within architecture or building engineering.
• Strong knowledge of the hospitality industry and its operational requirements.
