Key responsibilities
- Plan and coordinate internal and client-facing events (townhalls, leadership visits, trainings, celebrations, employee engagement events).
- Create event plans and run-of-show documents (timelines, roles, checklists, contingency plans).
- Manage vendors and partners (caterers, AV, staging, transport, security, printers) including quotes, comparisons, and service-level follow-up.
- Coordinate event logistics: venue/space booking, seating, registrations/attendee tracking, signage, access/visitor management, and guest hospitality.
- Partner with AV/IT to ensure audio, video, presentation, and connectivity readiness for meetings and events. (AV support typically includes set-up and operational assistance for events.) 2
- Support budget tracking and cost control; raise purchase requests/POs as applicable and ensure invoices are accurate and submitted on time.
- Ensure compliance with site policies, safety, and risk requirements (capacity limits, emergency procedures, food safety where relevant).
- Stakeholder management: collect requirements, align expectations, provide regular status updates, and close out with feedback/lessons learned.
- Maintain event calendars, templates, and standard operating procedures to improve consistency and efficiency.
- Support reporting on event performance (attendance, satisfaction, cost per attendee, vendor performance).
People & team support (if applicable)
Guide and coordinate junior coordinators or event staff during planning and on-site execution.
Allocate tasks, monitor progress, and provide coaching within established policies (manager-level coordination expectations). 3
Required skills & qualifications
- Experience in corporate/workplace events, hospitality, or facilities/workplace experience operations.
- Strong vendor management and negotiation skills.
