Role Overview

  • ARX is looking for an Assistant Admin Manager 100% (m/f) with experience in the Middle East for our office in Abu Dhabi.

Responsibilities

  • Manage the full day to day administration of the Abu Dhabi office.
  • Act as the main point of coordination for Abu Dhabi office administrative matters.
  • Coordinate with building management, maintenance teams, suppliers, vendors.
  • Oversee office supplies, access cards, service renewals, invoices.
  • Support new joiner arrangements, employee documentation support, internal communication.
  • Ensure company office policies and administrative procedures are followed.
  • Coordinate business travel arrangements for employees.
  • Liaise with employees, project teams, management, travel agencies.
  • Maintain accurate records of travel bookings, approvals, invoices, itineraries.
  • Coordinate business and visit visa requirements for employees.
  • Liaise with embassies, consulates, visa service providers.
  • Maintain organized records of business/visit visa applications.

Requirements

  • Bachelor's degree in business administration, Management, Human Resources, or a related field.
  • Minimum 5 to 8 years of experience in office administration, travel coordination, administrative management.
  • Mandatory experience in the Middle East.
  • Prior experience managing office operations independently preferred.
  • Experience coordinating business travel arrangements.
  • Hands on experience supporting business/visit visa documentation.
  • Strong organizational, coordination, follow up, and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail.
  • Proactive, self motivated, solution oriented.
  • Good vendor coordination and negotiation skills.
  • Ability to maintain confidentiality.
