Position Title
- AI & Application Development Analyst
- Location: Toronto, Hybrid
- Department: Corporate
- Reporting Relationships: The AI & Application Development Analyst reports to the Director, Business Systems (IT), and has no direct reports.
Accountabilities And Key Functions
- This position is part of the Business Systems team, with cross functional support to Finance, Legal, Operations, Development, and Executive stakeholders.
- The AI & Application Development Analyst owns practical delivery, supports governance, and continuity of Potentia’s internal AI program and related Business Systems automation work.
- The role turns business problems into usable, governed workflows across Microsoft 365, SharePoint, NetSuite, GitHub, Azure, and internal data systems.
- The role also serves as a hands on development support resource for internal applications, owning bug triage, feature additions, deployment operations, and documentation for tools that run on Azure, GitHub, and the Microsoft stack.
AI Program Ownership
- Maintain the AI initiative portfolio, including intake, prioritization, status tracking, owner assignment, and executive ready readouts.
- Lead practical AI workflow delivery across Legal, Finance, Operations, Development, and Business Systems, with a focus on real user adoption rather than demos.
- Own the lifecycle for reusable AI skills, plugins, prompts, and workflow packages, including source control, versioning, release notes, install surfaces, and support model.
- Create repeatable execution frameworks for intake, discovery, prototyping, pilot, approval, release, support, and retirement of AI enabled workflows.
- Coordinate program rollout, user support, usage governance, readiness gates, and cost monitoring.
- Develop adoption plans, communications, training materials, and change management support so AI enabled workflows are understood, trusted, and used after launch.
- Ensure AI workflows have clear data boundaries, human review points, source of truth locations, and escalation paths.
Business Systems and Automation
- Own day to day development support for internal applications: triage bugs, scope and deliver incremental feature changes, coordinate releases, and maintain deployment and rollback documentation.
- Manage application lifecycle tasks including environment configuration, dependency updates, secrets rotation, and Azure deployment center operations.
- Write and maintain automated tests, smoke checks, and acceptance criteria so application changes can be validated before reaching production.
- Partner with IT, Finance, and vendors to troubleshoot NetSuite, Azure, GitHub, Microsoft 365, and SharePoint automation dependencies.
- Maintain business system runbooks, deployment notes, support documentation, and ownership maps.
- Identify manual, high friction business processes and design pragmatic automation or AI assisted improvements.
- Evaluate build vs buy options for AI and automation needs, balancing speed, maintainability, security, vendor dependency, user adoption, and business value.
Technical Governance and Delivery
- Maintain GitHub repository standards, branch protection expectations, PR/review practices, and source of truth rules for internal tooling and AI packages.
- Lead or support development sprints for internal tools: break down requirements into scoped tickets, estimate effort, manage a backlog, and communicate release timelines to stakeholders.
- Perform code review for internal application changes, enforce style and security standards, and ensure PRs include adequate testing and documentation.
- Work with Azure resources, app registrations, managed identities, secrets/variables, deployment center settings, and self hosted runner patterns with appropriate controls.
- Document and enforce safe handling of credentials, sensitive data, private working materials, and public/published artifacts.
- Validate outputs through testing, user review, and operational handoff before declaring work complete.
Stakeholder Support
- Translate between business users, IT, vendors, and leadership so workstreams have clear owners, blockers, and next actions.
- Prepare concise meeting briefs, executive summaries, and decision materials.
- Train and coach users on effective use of AI tools, coding agents, workflows, and internal automation standards.
- Triage requests and push back when an initiative lacks source material, ownership, security posture, or a clear business case.
Knowledge, Skills, Abilities
- Experience delivering internal business systems, automation, AI enablement, or digital transformation work in a corporate environment.
- Strong working knowledge and ability to work with Python, SQL, APIs, PowerShell, JavaScript, MCP, SKILL.MD, plugin, connectors, Claude Code, OpenAI Codex, VS Code and other AI tooling.
- Hands on familiarity with GitHub, Git workflows, repository governance, documentation, and lightweight software delivery practices.

- Demonstrated experience building or maintaining web applications or internal tools (Python/Flask, Node, or similar), including production deployments and post release support.
- Comfort reading, writing, and reviewing code in a team setting — not necessarily senior engineering depth, but enough to own a codebase, ship fixes, and hand off cleanly.
- Strong business analysis skills: process mapping, requirements discovery, stakeholder interviews, prioritization, and risk framing.
- Conceptual understanding of networking fundamentals — TCP/IP, IPSec, and ACLs — sufficient to work with infrastructure and security teams on connectivity, access control, and deployment architecture decisions.
- Excellent written communication, including executive memos, user guides, and handoff documentation.
- Sound judgment around data security, privacy, access control, AI governance, and human in the loop review.
Preferred Experience
- Experience with NetSuite, finance operations, legal workflows, land/asset systems, or energy sector business processes.
- Experience with Copilot, Claude, ChatGPT/Codex, Cursor, custom AI skills, plugins, or MCP style connectors.
- Experience supporting production internal tools, including migration planning, rollback planning, and documentation cleanup.

- Target annual bonus: 10% target bonus.
